The silent meeting participant

There is a new ‘colleague’ in many team meetings now. They never speak or blink, yet they write down every word. The AI minute taker was sold to us as a convenience, and mostly it is. Yet, it also changes how people talk. The half-formed idea and the honest doubt both feel riskier when a machine is minuting the room for the permanent record.

A 2024 study of 3,508 workers found that simply feeling watched was linked to higher distress and lower job satisfaction, in part through reduced autonomy and privacy concerns. 

The AI transcript is the new private eye who now captures everything that was said. It says nothing about body language, what went unsaid, or why. Whilst it may not feel like a big issue for you right now, it will only take one court case to fundamentally change the way it’s viewed.

So before you invite a bot to listen and capture everything, ask the room. It costs nothing, and it stops a passing remark being stored up to use against someone later.
